J. Spargo & Associates is the official registration and housing vendor for ACC.

Exhibitor Registration

Advance Registration

To save time while on site, ACC strongly recommends advance registration for booth staff. All exhibitor registrations will be processed online through the J. Spargo & Associates official registration Web site (login required).

To receive exhibitor badges by mail in advance, exhibitors must register their personnel online by Feb. 15, 2010. After this deadline, exhibitors can continue to make additions, changes and cancellations directly on the Exhibitor Badge Web site, but badges for these individuals must be picked up on site in the Exhibitor Registration area. NEW! Exhibitor badge holders will not be mailed in advance, but can be picked up on site in the Exhibitor Registration area starting March 11, 2010.

It is the responsibility of the exhibiting company to distribute badges received in advance to their staff.

On-Site Registration

On-site exhibitor registration will open March 11, 2010, in Hall B1. Exhibitors registering on site or picking up exhibitor badges on site will be required to show photo ID and proof of affiliation with the exhibiting company (i.e., business card) and sign for badges removed from the Registration area.

Exhibitor badge holders can be picked up in the Exhibitor Registration area starting March 11, 2010.

Exhibitor Housing

A preferential housing period was granted to exhibitors who submitted Applications for exhibit space with a 30% deposit by the Priority Point deadline of Sep. 4, 2009. Detailed exhibitor housing information, including forms and instructions, was included with the ACC.10 Exhibit Prospectus. NEW! Exhibitors are able to request their room blocks online—visit the J. Spargo & Associates official housing Web site (login required) for details.

Please note: When ACC receives written notice that an exhibiting company is cancelling space, all housing reservations, as well as badges, non-CME/CE satellite event approvals and ExpoSuites, held by said company will be cancelled immediately. No exceptions will be granted. In addition, exhibitors who cancel booth space after Feb. 3, 2010, will forfeit any room deposits paid.

Penalties for Booking Housing Outside the ACC Housing Block

To ensure quality accommodations, ACC has contracted housing blocks for use by its exhibitors.

Exhibitors are expected to make housing arrangements through ACC’s official housing process and J. Spargo & Associates (ACC’s housing and registration vendor) as part of their commitment to and support of ACC. International exhibitors and those with international offices are reminded that they must also adhere to this housing policy.

Bypassing the official housing process—making reservations directly with hotels that are part of the official ACC housing block or making reservations at hotels outside the ACC housing block—is considered a violation of the regulations and will result in the loss of all priority points that would have been accrued by the exhibiting company for ACC.10.

Financial Penalties for Late Cancellation of Hotel Rooms

Current hotel industry practice dictates that some hotels in the ACC-contracted room block may have the right, by contract, to charge ACC for blocks of rooms that are cancelled or released at the last minute.

In response to this industry trend, ACC has instituted a cancellation policy. A nonrefundable deposit equal to three nights’ room and tax will be due by Feb. 3, 2010, for each room reserved. Exhibitors who cancel booth space after Feb. 3 will forfeit any room deposits paid.

Exhibitors may contact J. Spargo & Associates to adjust their housing block until the final housing cutoff on Feb. 17, 2010. However, any financial penalties applied to ACC will be billed back to the exhibiting company concerned.
