Non-CME/CE Satellite Event Request Process
Organizations that wish to host a non-CME/CE satellite event must submit a request via the online Satellite Event Request Form (SERF) (login required). A SERF must be submitted for each event. SERFs will be accepted between Sep. 21, 2009, and March 5, 2010. On the SERF, you will submit the details of the event—dates, times, anticipated attendance, etc.—and a credit card, which will be charged the registration fee associated with the event. Please allow five business days for the SERF to be reviewed. If the event is approved, you will receive a Non-CME/CE Satellite Event Approval Letter via e-mail. Non-CME/CE Satellite Event Approval Letters will be sent out starting on Oct. 19, 2009.
Function Space
Once you have received approval from ACC for your non-CME/CE satellite event, you may contact any hotel, restaurant or entertainment venue of your choice to request function space. Any hotel you select will require that you provide a copy of the Non-CME/CE Satellite Event Approval Letter before reserving function space for your organization. All communication from that point on will be between you and the venue, and any vendors you secure for transportation, audiovisual, food and beverage, etc. All charges for these items are the sole responsibility of the applicant.
Please note that function space is based on availability at each hotel property. Submitting your Satellite Event Request Form early will increase the likelihood that you will be able to secure function space.
Function Space in the Convention Center
ExpoSuites, hardwall lockable rooms located on the Expo floor in Hall B4 of the GWCC, are available to host your non-CME/CE satellite events (with the exception of Non-CME/CE Educational Events—no educational symposia/sessions of any kind will be permitted in the ExpoSuites area). ExpoSuites are available in various sizes, and are a convenient place for exhibitors to hold staff meetings, meet privately with potential clients, conduct investigator meetings or host hospitality events.
Non-CME/CE satellite events held in ExpoSuite space must be registered using the Non-CME/CE Satellite Event Request Process outlined above. NEW! Registration fees for non-CME/CE satellite events being held within ExpoSuite space will be waived.
