Promoting Your Non-CME/CE Satellite Event
All materials promoting non-CME/CE satellite events, including announcements, invitations, Official Pre-Meeting Mailer and/or Doctor’s Bag door drop inserts, posters, Web sites and booth flyers, must include the following statement:
“This event is not part of the official ACC Annual Scientific Session and/or the American College of Cardiology’s Innovation in Intervention: i2 Summit in Partnership with the Cardiovascular Research Foundation (CRF) as planned by their Program Committees.”
ACC does not co-sponsor programs. All materials promoting non-CME/CE satellite events must clearly indicate the name(s) of the organizer(s) and/or the company(ies) providing financial support for the event.
Use of the ACC, ACCF, ACC.10, i2 Summit or CRF names, logos or insignia on materials promoting non-CME/CE satellite events is strictly prohibited (see “Logos, Names and Insignia,” page 31 of the ACC.10 Exhibit Prospectus, for more information). The term “Scientific Session” may not be used in reference to a CME/CE or a non-CME/CE satellite event.
You may purchase advertising to promote your non-CME/CE satellite event in the ExpoGuide show directory and other Annual Scientific Session publications, ACC print publications, ACC Web sites and electronic publications, the Official ACC.10 Pre-Meeting Mailer, or the Doctor’s Bag Door Drop. Complimentary Online Listings
Sponsoring organizations of approved non-CME/CE satellite events are encouraged to take advantage of the opportunity to post date/time, speakers, location and title information about their programs on the ACC Expo Web site at no charge. This information will be viewable beginning Jan. 22, 2010, and will assist ACC.10 and i2 Summit attendees in planning their meeting agendas.
Invitations/Announcements
All copy for materials promoting non-CME/CE satellite events must be approved by ACC prior to printing. Please submit these materials in their final, layout form to SatelliteEvents@acc.org between Dec. 14, 2009, and March 5, 2010. Please note that ACC does not need/wish to approve program syllabus or presentation materials. Please allow a minimum of five business days for approval.
Any insert that will be placed in the Official Pre-Meeting Mailer and/or Doctor’s Bag door drop ONLY must be sent to Ascend Media. All proposed inserts for the Official Pre-Meeting Mailer must be submitted by Dec. 18, 2009, and all proposed inserts for the Doctor’s Bag door drop must be submitted by Jan. 18, 2010. Ascend Media must receive the approved, printed inserts for the Official Pre-Meeting Mailer by Jan. 6, 2010, and for the Doctor's Bag door drop by Jan. 27, 2010.
Invitations/announcements may be sent to the sponsor’s in-house mailing lists, or a mailing list may be rented from ACC. ACC offers a one-time rental of mailing lists, including the ACC.10 advance registration list (available after Jan. 18, 2010). Only ACC.10 exhibitors may rent the advance registrant mailing lists. Mailing List Rental Guidelines and order forms will be provided to exhibitors in the Exhibitor Service Kit. Please note the turn-around time for requested lists is seven to ten business days. Distribution of materials promoting non-CME/CE satellite events, even if approved, is limited to the area rented by the exhibiting company in the ACC exhibit hall. Such materials are not permitted in the exhibit hall aisles, the registration and poster session areas; in ACC ExpoGuide directory bins; on counters, lunch and/or lounge tables; in or near education rooms; in parking lots; or in any hotel. Noncompliance with this regulation will result in the prompt removal of the offending person and property from that area and will result in the loss of ACC.10 priority points by the exhibiting company.
Event Signage
There can be no more than five signs displayed per event, including directional signage. Signs can only be placed the day of the event. Placement of promotional signs is subject to venue policy. It is the applicant’s responsibility to be aware of and adhere to venue regulations concerning the placement of signs that are located outside the function space room. Signage may be placed in the hotel on the day of the function and must be removed within one hour of the conclusion of the satellite event. Signs must be professionally printed, and no larger than 28” x 44”. Please note: Proposed copy for signage must be approved by the ACC Exposition department prior to printing (see “Invitations/Announcements,” above, for more information). It is the applicant’s responsibility to be aware of and comply with ACC policies as well as its selected venue’s policy concerning the placement of signage and other promotional items.
Signs may not be placed in other venues, the GWCC, buses, taxicabs or inside or outside the hotel in which the event is taking place. Companies violating these rules will have their items removed and/or confiscated, their event closed, and will lose all priority points that would have been earned for ACC.10.
