NOTE: Current exhibitors should click on Exhibitor Login and link directly into the J. Spargo hotel block (and exhibitor badge) management site.

If you have already arranged a hotel block through J. Spargo & Associates, occupant names needed to be assigned to all hotel rooms prior to Wednesday, February 18, 2009 (February 18 was also the final hotel room cancellation date). If you have not yet established a room block, you will be given the option to do so witin this J. Spargo site.

Exhibitor badges ordered by February 18, 2009, had the option to be mailed mail in advance. Exhibitors may still register for badges online after February 18, for pick up on-site at the Exhibitor Registration desk on Level 1 of the West Building, Registration Area A (lobby near Hall A) during move-in. Please be sure all staff has photo identification and business cards.

Important Note:

Several ACC exhibitors and groups have reported receiving email and telephone solicitations from non-official companies claiming to offer hotel rooms in Orlando during our meeting dates. Companies operating under names such as Tradeshow Housing, Complete Event Planning, Travel House, etc.have NOT been authorized by ACC to provide housing for our event. J Spargo & Associates is ACC's sole housing provider.

In many cases, solicitation emails and phone calls tout rooms and rates which are not actually available. ACC, through the Orlando Convention and Visitors Bureau and J Spargo, keeps in close contact with hotels in our block, and we are assured they are not holding room blocks nonaffiliated travel agencies such as those mentioned above.

Priority Housing

A preferential housing period was granted to exhibitors that submitted Exhibit Space Applications AND Room Block Requests by the Priority Point deadline (September 5, 2008). If you have not done so already, submit your Room Block Request Form as soon as possible to improve your housing options.

Housing Choices

Please download the Exhibitor Room Block Request form, Hotel Information, and Map document to make your hotel choices. Complete and return the Room Block Request Form to J. Spargo & Associates (ACC’s housing and registration vendor) as soon as possible.

Hotel Assignments, Room Block Management

Room block assignments will be emailed by J. Spargo beginning on October 6, 2008, along with instructions on inserting individual names and arrival/departure dates. Exhibitors must provide 3-night nonrefundable room deposits, individual names and arrival/departure dates via the J. Spargo online system by February 18, 2009. Names and dates may be changed using the J. Spargo system through March 4, 2009; however, deposits are nonrefundable as of February 18, 2009.

Penalties for Booking Housing Outside the ACC Housing Block

To ensure quality accommodations, the ACC has contracted housing blocks for use by its exhibitors.

Exhibitors are expected to make housing arrangements through the ACC’s official housing process and J. Spargo & Associates as part of their commitment to, and support of, the ACC.

Bypassing the official housing process--making reservations directly with hotels that are part of the official ACC housing block--is considered a violation of the regulations and will result in the loss of priority points by the exhibiting company.

Financial Penalties for Late Cancellation of Hotel Rooms

No deposit refunds will be issued to exhibitors that cancel housing after February 18, 2009. Rooms for which deposits are not received by February 18, 2009, will be released.

Exhibitors may contact J. Spargo to adjust their housing block until the final housing cutoff, March 4, 2009; however, any financial penalties applied to the ACC will be billed back to the exhibiting company concerned.

Shuttle Bus Service Information
